Absent:  Dave Guerrette, Betty Kent-Conant, Larry LaPlante, Roger Crouse, Greg Thompson, Bob Collins, Tim Crowley, Alan Punches, Bob Rice, Dan Boyd, Brian McDougal, Dean Duplessis, Dennis Albert, Lori Googins, Sonny Michaud

Tom inspected the fire extinguishers and smoke detectors in the Residential Life area on November 21st, they are in place and are in working order.

Barry e-mailed Derek Langhauser on the 2006-2007 clean report initiative. He mentioned that if anyone had anything to add to the report to help the environment to e-mail the information by the end of the day.  A ruling that all students must have the appropriate shots by the start of the spring semester is in place.  The Maine Center for Disease Control and Prevention also recommends that all employees should have the appropriate shots as well.  This emergency rule is created to require both mump shots due to recent outbreaks across the state.

Shawn mentioned of an incident that happened in the gym.  A student from the Presque Isle Middle school got a bloody nose during a basketball practice in the gym.  The area was barricaded and the custodial supervisor was contacted to have the spill cleaned up by the appropriately trained personnel.  PIMS will be billed for the incident.  Tom mentioned that there was a discovery of mumps on other campuses.

The instant alert system should be set up today with Honeywell for emergency messages. This system will be utilized as a method to contact students in an event of an emergency by their choice of various technology options, i.e. cell phone, text message, telephone call etc.  We still need to fix some quirks on tracking employee information. We need to make sure all contact information is accurate.  A test will be run soon and should be working by the spring semester. It is expected for this system to be live for the spring semester.

The committee continued discussing the draft Emergency Procedures Manual moving through the document page by page to edit each section; the name will be changed to Emergency Action Plan as indicated in the 1910.38 OSHA standards.  It was noted that all contact #’s for Tom Richard / Residential staff be included in the manual for coverage. Also, cell phone #’s should be added under other contact numbers for Barry and Jackie. It was suggested that the cell phone #’s for security be added for the weekend session.

At our last meeting the members discussed the workplace violence policy and Bill E indicated that the weapons policy is currently under review. Bill mentioned that an updated policy is complete and approved at the systems level, it will be added to the Appendix list in the plan.  Other changes to the plan are missing telephone and cell phone numbers for members of the Emergency Management Group.  It was suggested that the scribe could be an electronic recorder instead of a person. Under the responsibilities of the EMG members, we identified the Dean of Students as the incident commander in various places in the Emergency Action Plan.

The committee continued to edit the rest of the plan, Karl will redo the plan reflecting the new changes.  Once the editing is done, he will email the new draft copy to all committee members in order for them to review the plan prior to the next upcoming meeting.

The committee adjourned and will resume next month.
