Meeting Minutes Monday, December 12, 2022

Shannon brought the meeting to order and welcomed all committee members.
Shannon proceeded to discuss the graduation task list that she has created. This has been broken down into different sections of who will be handling specific portions of the graduation planning and events. Registrar’s office, President’s office, Academic Area, Development Office, Events Committee, Dean of Students, Graduation Committee and Security.
Shannon will be working towards having diplomas conferred and handed out at the actual graduation ceremony. This is why the tasks have been reassigned to the different departments
The Event Committee will be taking on responsibility of the planning of events at graduation, renting of the forum, photographer, bagpipers, music. Shannon will share some of the vendors she has used in past graduations. She asked that Event Committee report back monthly with updates at our Graduation Committee meetings.
There was discussion of where graduation would be held. Risk of bad weather ruled out having and outdoor ceremony as was held last year. It was decided to use the forum for this year’s graduation ceremony. A reception will be held as well. Graduation will be held on May 13th at 10am as UMPI will be holding their graduation ceremony on May 6th.
President Crowley is working on who will be the guest speaker. Shannon has sent a recommendation to him from a faculty member.
Dean Grillo will be working with Rehearsal preparations.
The greenery was discussed- the possibility of using artificial plants along with the real flowers. Artificial greenery could be stored and used every year. Bri and Cheryl will be in charge of looking into greenery options for graduation
Discussion to see graduation livestreamed. Griffin will reach out to Fred Grant from WHOU in Houlton to discuss this.
President Crowley brought up several points he wanted to discuss. The first was music- he will send out an email to all employees asking if anyone has music/singing ability who may want to perform in the graduation ceremony. Secondly, he wants to be sure that security is taken seriously and looked into for the graduation. There was a recommendation to talk with the local Police Department a few weeks prior to graduation to make an informed decision about security measures at the forum.
