Subject:     Administrative Guidelines for Faculty, Administrators, and Staff Engaging in Professional Development Activity During the Scheduled Workday

Flexible scheduling for faculty and administrators is the most appropriate approach for professional development activities that cannot be scheduled during non work hours. This may permit, with the approval of the supervisor and area administrator, and employee to pursue courses and/or seminars to enhance their credential and capabilities and at the same time, have flexibility in fulfilling their teaching and administrative responsibilities. Each supervisor who recommends flexible scheduling must document the schedule and its duration. Approved flexible schedules for all employees are to be forwarded to the business office for documentation.
 
In the event that occasional classes are missed, documentation must be available on how the missed classwork will be made up. This documentation must be available for review by accrediting teams. In all cases, flexible scheduling should be kept to a minimum to avoid a disruption of routine work activities.

In certain cases where specific skills development is needed for a staff member over an extended period of time, the supervisor(s) may recommend a flexible schedule, how the supervision of the employee will be fulfilled and the rationale to justify a flexible schedule.

Typically, staff engaging in required staff development activities for skill enhancement are provided with time off work to participate in seminars, workshops and, in special cases, courses. The time away from the workstation for courses should be limited to three or four hours per week during an occasional semester. The authorization of this time off work for a staff member to attend a course must clearly document why the skills expected to be obtained from the course are essential for the position.
